How do I create a staff time sheet for a particular day?

1.      From anywhere in the system, click on the “Staff” purple puzzle piece on the left hand side or from the home menu, click the "Reports", "Staff Reports", "Time Sheet" button.

 

2.      Select the “Date” you wish to create a staff time sheet for and click the "Create" button.

 

If you have previously created a sign in sheet for this day of the week, the system will display a time sheet for you based on what was scheduled for the same time last week; otherwise you will need to add staff members.

 

 

If you have a rotating shifts, you can select to copy that roster by selecting the date in the “Copy From” filed and clicking “Same As”

 

Please note that the colours of your staff sign in sheet may vary but the descriptions will be similar.

 

Each staff member will be listed with the times that they are scheduled to work on that day.

 

The right hand column will display details of your MOE Ratios for each 15 minutes of the day. If you wish to view details of the ratios, click the "View" button.

 

Key:

·         Cells that are highlighted in blue mean that your ratios are correct.

·         Cells that are highlighted in green mean that you are above required Ministry ratio for this period.

·         Cells that are highlighted in red indicate that you are below required Ministry ratio for this period.

·         Cells that are highlighted in orange indicate that you have not ECE registered teachers in contact with children for this period.

a.       Rostered times for some of the staff are different

 

3.      Click the “Change Times” button under the staff members’ name.

 

4.      Update the activites beside the times in the “Rostered” column by clicking on the drop down box to the right of the time.

 

Go to step 6 of this procedure to print the staff timesheet.

 

 

5.      Once you have updated all of the activities, scroll to the bottom of the screen and click the “Same as rostered” button.

b.      The staff member is not rostered to work that day.

 

3.      Click on the “Change times” button below the staff member’s name.

 

4.      Scroll to the bottom of the screen and click the “Delete” button.

 

Go to step 6 of this procedure to print the staff timesheet.

 

 

c.       A staff member is rostered to work that day but is not on the timesheet

 

3.      Scroll to the bottom of the screen and click the “Add staff” button.

 

4.      Update this staff members activities following scenario 2 above and click the “Update” button.

 

Go to step 6 of this procedure to print the staff timesheet.

 

 

6.      Click the "Print" button and then select the print function of your internet browser.

 

Please note that the staff time sheets are designed to be printed in Landscape mode and you will need to change your printer settings accordingly.

 

7.      Once you have printed the time sheet, click the "Back" button on your browser to return to the “Time Sheet Update” screen.

 

8.      Click the "Previous" button to return to the “Time Sheet Selection” screen; or click the "Next Day" or "Previous Day" buttons to create another staff timesheet.
