How do I update a staff time sheet with actual worked times if they are different to what was rostered?

1.      From anywhere in the system, click on the “Staff” purple puzzle piece on the left hand side or from the home menu, click the "Reports", "Staff Reports", "Time Sheet" button.

 

2.      Select the date for which you wish to update a staff time sheet and click the “Modify” button.

 

Details of the times and activities for staff members on this day will be displayed.

 

Key:

·         Cells that are highlighted in blue mean that your ratios are correct.

·         Cells that are highlighted in green mean that you are above required Ministry ratio for this period.

·         Cells that are highlighted in red indicate that you are below required Ministry ratio for this period.

·         Cells that are highlighted in orange indicate that you have not ECE registered teachers in contact with children for this period.

 

 

Each staff member will be listed with the times that they were rostered to work on that day.

 

Following are the scenarios of changes that may be required:

       I.            The staff member worked differently to what was rostered

    II.            The staff member didn’t work and they were rostered to

 III.            A staff member that wasn’t rostered to work, did work

 IV.            An unregistered staff member’s contact hours are to be counted as “Discretionary” hours

 

       I.            The staff member worked differently to what was rostered

 

3.      Click the “Change Times” button under the staff member’s name.

 

 

4.      Select the appropriate “Activity” that the staff member actually performed beside the appropriate times in the “Worked” column if it is a one off change; or in the “Rostered” column if it is a permanent change. 

 

5.      Click either the “Update” button if it is not a permanent change; or the “Same As Rostered” button if it is a permanent change.

 

    II.            The staff member didn’t work and they were rostered to

 

3.      Click the “Change Times” button under the staff member’s name.

 

4.      In the “Attendance” box, select the reason that the staff member did not work.

 

5.      Scroll to the bottom of the screen and click the “Update” button.

 

 III.            3. A staff member that wasn’t rostered to work, did work

 

3.      Scroll to the bottom of the screen and click the “Add staff” button.

 

 

4.      Update the activites beside the times in the “Rostered” column by clicking on the drop down box to the right of the time.

 

 IV.            An unregistered staff member’s contact hours are to be counted as “Discretionary” hours

 

3.      Click the “Change Times” button under the staff member’s name.

 

 

4.      In the “Worked” column, select “Substitute”

 

5.      Scroll to the bottom of the screen and click the “Update” button.

 

 

 

Now that all of the changes have been made:

 

6.      Click on the “Print” button.

 

7.      Send the timesheet to your printer and then click on your internet browsers back arrow.

 

8.      Click the "Previous" button to return to the “Time Sheet Selection” screen; or click the "Next Day" or "Previous Day" buttons to modify another staff timesheet.
